How to Create a Payment Receipt Online (Free PDF)

Paid ₹15,000 to a designer or $500 to a SaaS vendor? A payment receipt gives you and the recipient a clear, shareable record. This guide walks through creating one with FreeInvoiceGen — the same free tool many users rely on for invoices.
Step 1: Open the Receipt Generator
Go to Create Payment Receipt. No account is required; your browser stores guest receipts locally. Sign up free if you want cloud backup in the Workspace.
Step 2: Enter Paid By (Your Details)
Add your name or business, address, PAN/GST if you use them on records, and optional logo. Saved profile details auto-fill when you use a free account or "remember my business details" in the browser.
Step 3: Enter Paid To (Recipient)
Enter the person or company you paid — vendor, freelancer, landlord, etc. Include address and contact details so the PDF is useful for both parties.
Step 4: Add Line Items and Amount
Describe what the payment was for (services, deposit, materials). Enter quantity and rate; the tool calculates subtotal and optional GST if you toggle GST mode for record-keeping.
Step 5: Payment Date, Method & Reference
- Set the payment date (when money left your account).
- Choose how you paid — UPI, bank transfer, cash, card, etc.
- Add the transaction reference (UPI ID ref, UTR, cheque no.) — required for a valid proof of payment.
- Optionally link an invoice number you are paying against.
Step 6: Preview and Download PDF
Review the receipt, pick a template if you like, then download a watermark-free PDF. Email or WhatsApp it to the recipient for their records.
Workspace: Track Receipts & INR Totals
Logged-in users see all invoices and receipts in the Workspace. Analytics show:
- Total Revenue (INR) — from invoices you issued (money owed to you).
- Total Paid Out (INR) — from payment receipts (money you paid others).
- USD documents convert using the USD/INR rate on the document date, saved when you create the receipt or invoice.
Tips for Clean Records
- Always include a transaction reference for digital payments.
- Match the receipt description to the quote or invoice you received.
- Store PDFs in your email or drive; Workspace users get an extra cloud copy.
- Ask the supplier for their GST invoice separately if you need ITC.
