What is a Payment Receipt? Proof of Payment Explained

If you have ever paid a freelancer, vendor, landlord, or supplier and wanted a clear record to share, you were looking for a payment receipt (sometimes called proof of payment or a payment voucher). Unlike an invoice, which asks someone to pay you, a receipt confirms that payment already happened.

When Do You Need a Payment Receipt?

  • You paid a contractor in advance and want written proof for your accounts.
  • You settled a vendor bill via UPI or bank transfer and need to share UTR/reference with them.
  • You reimburse an employee or partner and want a standard PDF for records.
  • You paid rent, professional fees, or one-off services and want documentation before the supplier sends their formal bill.

What to Include on a Payment Receipt

  • Receipt number and payment date
  • Paid by (your name or business) and paid to (recipient)
  • Description of goods or services the payment was for
  • Amount paid and currency
  • Payment method (UPI, bank transfer, cash, etc.)
  • Transaction reference (UPI ref, UTR, cheque number)
  • Optional: link to an invoice number you are settling

Payment Receipt vs GST Tax Invoice

In India, a GST tax invoice is typically issued by the seller who supplied goods or services. Your payment receipt is proof that you paid; it is not a substitute for the supplier's statutory tax invoice where GST registration applies. Keep both for clean books: your receipt for payment proof, their tax invoice for input tax credit where eligible.
